This Privacy Policy explains how SeeMail collects, uses, stores, and protects information when you use our website, browser extension, dashboard, and Gmail-connected sending and tracking features.
1. Information We Collect
Depending on how you use SeeMail, we may collect:
- account and identity information, such as your name, email address, profile image, and account identifiers when you sign in;
- Google account and Gmail connection details, such as the connected Gmail address, authorized scopes, connection timestamps, and a server-side stored refresh token used to keep your Gmail connection active;
- outgoing email data that you choose to process through the Service, such as recipient addresses, subject lines, reply context, message content, and attachments you submit for tracked sending;
- tracking and engagement data generated by the Service, such as open events, click events, timestamps, link interactions, IP address, browser or device metadata, and user agent information associated with tracked messages;
- billing and subscription information provided by our payment provider, such as plan status, subscription identifiers, and transaction status;
- technical and usage information, such as feature activity, log data, browser type, and device information.
2. How We Use Information
We use information to:
- provide, operate, maintain, and secure the Service;
- authenticate users, manage accounts, and maintain signed-in sessions;
- connect Gmail on behalf of the user and process tracked sends initiated by the user;
- send outgoing tracked email, create a sender-safe mailbox copy, preserve reply-thread behavior, and maintain related mailbox state for the Gmail-connected features requested by the user;
- generate and display open, click, and engagement reporting in the dashboard and extension;
- process subscriptions, billing, and related support requests;
- improve reliability, diagnose problems, prevent abuse, and protect users and the Service.
3. Google User Data and Gmail API Use
When you connect Gmail, SeeMail uses Google user data only to provide the user-facing features you request. SeeMail does not sell Google user data, does not use it for advertising, and does not use Google Workspace APIs to develop, improve, or train generalized AI or machine learning models.
For Gmail-connected features, SeeMail may use Google user data to:
- send outgoing tracked messages from your connected Gmail account when you initiate a send;
- create a sender-safe copy of an outgoing message in your mailbox and manage related mailbox state so your Sent view and reply-thread behavior remain usable;
- determine the connected Gmail account and maintain connection status;
- resolve reply context and recipient data for reply flows you initiate inside the product;
- display the results of tracked sends, such as opens and clicks, in your dashboard or extension.
4. Data Sharing
We do not sell your personal information or Google user data. We may share information only in the limited situations described below:
- with infrastructure, hosting, authentication, database, and security providers that help us operate the Service;
- with payment and billing providers, such as Dodo Payments, to process subscriptions and billing events;
- with professional advisors, regulators, or law enforcement when required by law or reasonably necessary to protect rights, safety, or the Service;
- within our organization on a need-to-know basis for support, security, fraud prevention, or compliance purposes.
5. Human Access to Google User Data
Authorized personnel may access limited Google user data only when reasonably necessary to provide user-requested support, investigate security incidents or abuse, comply with applicable law, or maintain the Service. We do not permit broad or routine human review of Gmail content for unrelated purposes.
6. Payment Processing
Payments and subscription management may be handled by third-party providers such as Dodo Payments. We do not store full payment card numbers on our servers.
7. Data Retention
We retain personal data only for as long as reasonably necessary to provide the Service, comply with legal obligations, resolve disputes, enforce our agreements, and protect the Service.
In general, account data is retained while your account remains active. Gmail connection data is retained until you disconnect Gmail or revoke access. Tracking records remain available until you delete them through the product, ask us to delete them, or we no longer need them for legitimate business or legal reasons. We may keep limited backup, log, billing, security, or compliance records for a longer period where required or reasonably necessary.
8. Your Choices and Controls
Depending on your use of SeeMail, you may be able to:
- disconnect Gmail from the SeeMail dashboard, which removes the stored Gmail refresh token and Gmail connection state from our systems;
- revoke SeeMail's Google access from your Google account permissions settings;
- delete tracked email, open, and click records from the dashboard using the tracking-data deletion tools we provide;
- contact us to request access, correction, or deletion of personal information where applicable law provides those rights.
9. Data Security
We use reasonable technical and organizational measures designed to protect information against unauthorized access, loss, misuse, or disclosure. For example, authenticated areas of the Service require account access controls, and Gmail refresh tokens are stored server-side rather than exposed in the public dashboard. However, no system can guarantee absolute security.
10. Cookies and Similar Technologies
We may use cookies, local storage, or similar technologies to maintain sessions, remember preferences, improve user experience, and measure basic product performance.
11. International Data Transfers
Your information may be processed in countries other than your own, where data protection laws may differ from those in your jurisdiction.
12. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will post the updated version on this page and revise the effective date.
